Accounts Receivable
Ultimately your business depends on your ability to turn a
profit. The Fuels Management System monitors your profitability
and your accounts. Intelligent functions allow you to structure
your business so that your cash flow is both visible and
predictable. Invoice generation procedures are fully integrated
with the service and delivery modules. Your customers are always
billed accurately.
Track Customer Balances
The Fuel Management System provides you with fully integrated
Accounts Receivable functions. Customer balances can be tracked
using either the Balance Forward or the Open Item Method.
Additionally, customers may be defined as Budget customers, Fuel
Assistance customers, or even as subsidiary customers whose
billing is referred to another customer.
Budget Customers can be set up within a flexible budget
framework. For each customer you define start month, number of
months and payment amount Automatic budget calculation based on
last year's gallons and predicted fuel price let you market to
non-budget accounts.
Credit Monitoring
The system applies the following credit controls to each of
your customers.
- Credit limit - Credit comment history for each customer
- Credit status - Ticket credit hold
Changes in the credit status of a customer are immediately
reflected within all portions of the system. Frozen credit
status will require a manual override to initiate a delivery or
service call. The credit comment history allows you to view
dated notes for customers' commitments. Payments made by credit
hold customers are reported daily for prompting timely revision
of credit status.

Billing
Flexible and configurable billing options provide optimal
turn around of your accounts receivable. Invoicing can be
selected on a per customer basis as follows:
- Invoice for service only - Invoice for product deliveries
only
- Invoice for both service and product - Use statements for
invoices
Accounts Receivable Statements
Statements can be issued in the following ways:
- Issued when activity occurs. Statement shows transactions
since last statement was issued.
- Issued when activity occurs. Statement shows transactions
from beginning of current month.
- Monthly, including budget statements and options for
overdue accounts.
- Cyclically (You select the cycle.) every ?XX number of
days for extremely active accounts. Just specify the number
of days by customer.
Pricing / Discount Options
The system provides pricing and discount flexibility,
allowing each customer unique net price or early payment
discounts. Finance charges and dividends, if defined, are
automatically calculated at month end.
